When you visit our website, Terranor Oy (“Terranor”, “we”) may collect and process personal information related to you (“Personal Information”).

4.5 Processing and Responding to Your Requests and Notices on the Business Services Page
As a Terranor corporate customer or supplier, you have access to some of our business services pages where you can, for example, view and manage ongoing projects and contracts, submit bids, and process invoices. If you, as a Terrano business customer or supplier, use these features, Terranor will process Personal Information to manage your ongoing relationship with you and to respond to and evaluate your offers. 4.6 Processing and responding to your reports of violations of Terranor’s Code of Conduct

Terranor will retain your Personal Information for as long as is necessary to fulfill the purposes set forth in this Privacy Statement, unless a longer retention period is required or permitted by local law applicable to Terranor. We use the following criteria to determine our shelf life: (I) as long as we have an ongoing relationship with you (either as an individual or as an employee, supplier and partner of our corporate customer); (II) as required by a statutory obligation applicable to Terranor (such as accounting and tax requirements); and (III) so when in the light of our legal position is advisable (such as appropriate filing times).

Terranor may disclose the processed Personal Data to other companies in its holding company in order to maintain and control our services and the activities mentioned in Section 4, as well as to comply with legal obligations and to formulate, file and defend legal claims.

Personal data processors act on behalf of Terranor
In addition, Terranor may disclose Personal Information to third parties, such as IT service providers, communications agencies, vendors, and other service providers that process Personal Information in accordance with Terranor’s guidelines. When such transfer includes non-personal information and transfer of EU / EEA area, Terranor ensures that the transfer between Terranor community and host a third party has been signed standard contractual clauses. Alternatively, other appropriate safeguards shall be applied prior to such transfers.
Appropriate safeguards for non-EU / EEA countries
Under applicable data protection laws, you have the right to obtain, upon request, a copy of the documentation showing that appropriate safeguards have been put in place to protect your Personal Data during a transfer outside the EU / EEA.

8.1. Right to rectification of data
Terranor will take steps in accordance with the Applicable Data Protection Act to keep your Personal Information accurate, complete and up to date. If you identify that any Personal Information relating to you is incomplete, incomplete or incorrect, you have the right to have your Personal Information corrected.

Jobseeker’s Privacy Statement

To apply for a job at Terranor Oy (“Terranor” or “we”), you are required to provide Terranor with your personal information, such as contact information, training information and previous work experience / (hereinafter referred to as “Personal Information”). Terranor, as the controller of personal data, is committed to protecting the privacy of our job seekers (“you” or “applicant (s)”). This Privacy Statement (“Privacy Statement”) informs you about the processing of your personal information that Terranor does / we do / during the job search process.

For purposes of this Privacy Statement, “processing” includes all activities relating to your Personal Information, including the collection, processing, storage, sharing, access, use, transfer and disclosure of that information.

“Applicable data protection laws” means national data protection laws and regulations, as well as the Data Protection Directive 95/46 / EC and, from 25.5.2018, Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on their free movement and repealing Directive 95/46 / EU (General Data Protection Regulation) (“GDPR”).

Personal data is used to identify the jobseeker and to assess the jobseeker’s suitability for the job being applied for. In some cases, we may ask your regular job seeker for your usual work experience and contact information, or alternatively collect the above information from research companies or business-related social media accounts, such as Linkedin for contact purposes in direct search situations. The processing of personal data is based on a legitimate basis under the Data Protection Regulation (Article 6.1 (f)), the pursuit of a legitimate interest. This means that your personal information will be processed to find suitable candidates for an open or future position at Terranor.
As part of the recruitment process, we may also conduct background checks with your permission to evaluate your application and you as a job seeker. Such studies include, for example, the revision of recommendations. if background checks are performed, Terranor will always ensure that applicable data protection laws are complied with.
We use your Personal Information for the purpose described above. We may only disclose your personal information to third parties as part of the recruitment process if they process it to assess your suitability for the position you are applying for, such as personal assessment companies.
The processing of your personal data as described above is necessary to assess your job application and suitability. We ask you to avoid including personal information (such as health information, political opinions, religion or other similar beliefs, union membership, or sexual orientation) in your application that may be considered sensitive Personal Information. We separately ask for your written consent if we need to process your Sensitive Personal Information.

The Personal Information we collect in this context includes:

You have provided us with your Personal Information directly through your application, but we may also receive your Personal Information indirectly, e.g. such as through third-party recruitment agencies or consent (Article 6.1 a) GDPR), former employers, as well as the recommendations, where applicable, financial information, such as credit information reports on those who carry out background research on companies. Personal Information related to credit information reports will only be processed when necessary, for example, when we recruit for a management position or position involving financial responsibility at Terranor. We comply with applicable data protection laws in the above situations.

If you are hired by Terranor on the basis of your job application, we may process your Personal Data which is necessary for the conclusion of an employment contract without prior notice (Article 6.1 b) GDPR. We can pre-fill your employment with your personal information based on the information in your job application.

Terranor may have vacancies where the information you provide may be considered sensitive Personal Data under applicable data protection laws. In some cases, for example, a medical examination may be relevant to our assessment and we therefore ask you to give your explicit consent, where applicable (Article 9.2 a) GDPR).

Retaining your application for future job opportunities

We will keep the above-mentioned Personal Information, ie your application and CV (excluding notes on interviews and recommendations), in our recruitment system for 2 years if you have applied for a specific position. With special consent, we may also use your application for other assignments at Terranor. We will keep open applications for one year, after which they will leave the system unless the application is updated.

Access inside Terranor
Access to your Personal Information is restricted so that only those Terranor employees who, within the scope of their duties at Terranor, have a special need to know Your Personal Information will have access to your information. Terranor employees in the following positions may have access to your Personal Information:
• HR and supervisors recruiting for that role for evaluation purposes;
• Group risk management;

As stated above, based on a separate agreement and with your consent (Article 6.1 a) GDPR), we may share your Personal Information above (excluding interview notes and recommendations) with other Terranor Group companies for up to one year to assess your suitability for other vacancies in Terranor Group companies.
Personal data processors act on behalf of Terranor
In addition, Terranor may transfer Personal Information to third parties, such as service providers who process Personal Information in accordance with Terranor’s instructions (e.g., IT Service Providers). According to Terranor’s Privacy Policy, we do not, in principle, transfer personal data outside the EU / EEA. If, in exceptional cases Terranor transfer the information outside the EU / EEA area, Terranor to ensure that the transferring entity and the receiving third party has been signed standard contractual clauses. If we receive your Personal Information (application and CV) through recruitment, consulting or personal assessment companies, you will be deemed to have read and accepted this Privacy Statement and our instructions to our recruitment agencies to inform you of this. We also always review the privacy statements of any partner used in the current recruitment process. The partner is responsible for the processing of personal data. For these actions, we ask that you review their privacy statement.

Your personal data will be kept for as long as is necessary to achieve the purpose for which the data was collected, in particular to assess your application and suitability for the job, or as required by law or permitted by applicable law.
We will only retain personal information (application and resume) for as long as is strictly necessary for the above purposes and in accordance with applicable law. Applications are generally retained in the recruitment system for 2 years if you have applied to Terranor for a specific position. If you have applied to us with an open application, we will keep the application for 1 year. You will then receive a reminder from the system to update the application. If you do not update the application, it will be deleted.
If, as a result of your application, you are hired by Terranor, the Personal Information collected during the recruitment process may be transferred directly to your employment contract (e.g., your contact information).
If you give your consent, we may use your job application and Personal Information for future job opportunities at Terranor for the period mentioned above. You always have the right to withdraw your consent or prohibit the use of your Personal Data for this purpose.
